How to get more booked aligner consults to show up
Read this ifBooked patients don't make it to the chair.
Every no-show is a patient who already said yes once. Getting them to the chair is cheaper than finding a new lead.
- How to use this guide
- 1Read the steps with the people who'll run them
- 2Copy the templates into your system
- 3Measure the number at the bottom next month
What this takes
You and your front desk. Thirty minutes to set up the reminders and the no-show text. Measure show rate next month.
From inquiry to the chair
- Qualifying questions
- Handling “how much?”
- When they don’t reply
The fix, step by step
Book within three days of the inquiry
Interest drops every day a patient waits. Hold a few consult slots each week for new aligner inquiries.
Confirm right after booking
Send the date, time, address and what happens at the consult. Patients who know what to expect are less nervous.
Remind the day before
Ask for a reply so you know who's coming. Call anyone who doesn't reply by mid-afternoon.
Remind two hours before
Short and practical: time, address, parking.
Text no-shows within the hour
No guilt and no fee warning. Offer another time this week. Call the next day, and text once more on day three.

No-show, within the hour
Hi [name], we missed you today. No problem at all. Want me to find you another time this week?
Only text patients who agreed to receive texts from your clinic, and include a way to opt out.
How to measure it
Show rate = consults that showed up ÷ consults booked. Check it every week. Under 80% means the reminders or the wait time need work.
